We welcome you to the VOLTA4u privacy policy through the website www.volta4u.com.
We respect your privacy and are committed to protecting your personal data. This privacy policy informs you of how we protect your personal data as a customer and provides updates on your privacy rights and the protection provided to you by law. Our company, with responsibility and respect for the laws, operates responsibly in terms of the collection, handling and processing of your personal data. You have every right defined by EU regulations 2016/679 and all relevant European and national legislation. The processing of your personal data is carried out strictly within the legal regulations. The use of your personal data takes place when: we have your full consent to complete the contract to be signed between the company VOLTA4u or we have already signed with you, it is dictated by our legitimate interests (or the legitimate interests of a third party) when your interests and fundamental rights do not override these interests; we need to comply with legal or regulatory obligations; it is dictated by public interest.
2. The processing of your personal data
We process any personal data you have provided us with, for which we have obtained your full consent, whenever necessary for the performance of the contract between us or when measures are to be taken at your request, prior to the conclusion of the contract, when you activate the online check-in service and any other corresponding service we have available and these purposes are defined as: renting cars to third parties with or without a driver, selling cars to third parties (wholesale or retail), renting trucks with or without a driver.
3. Personal data requested
According to our right we collect, process, store and transfer various types of personal data that we have classified as follows: Identity data includes full name (trade name for sole proprietorships), mother’s and father’s name, date of birth, identity card (number, date of issue/expiration and place of issue) or passport (number, date of issue/expiration and place of issue), residence permit, valid driving license (number, date of issue/expiration and place of issue). Contact data includes home address, email number and telephone number.
Financial data includes taxpayer number, bank account number, payment card details, VAT exemption indication, activity (for sole proprietorships), tax office (for sole proprietorships), registered office (for sole proprietorships). Credit ratings and legal documents (for sole proprietorships). We do not collect sensitive personal data in any of our operations or countries of operation, with the possible exception of your health data, which we obtain with your consent in the event of an injury from a traffic accident, solely to transmit to the insurance company that insures our vehicle.
4. Πώς συλλέγουμε τις πληροφορίες σας
We collect your personal data in digital form or in print, every time you use our services, when these services are provided by us at our customer service points, namely in our Car Rental Service offices, or in other places where our company legally operates (indicatively airports, hotels etc). We also collect your data when you use our call centers or any of our mobile applications, when you use our company email, as well as when you use our company websites and digital applications (indicatively online check-in). In the above cases and in particular for the cases in which you create or manage your profile, we collect the necessary data for this purpose. You are solely responsible for the accuracy and correctness of the information and documents that you transmit to our company. In addition, please refer to our company website for information about our cookies policy (Cookies Policy). We may collect personal data with your consent in many ways, such as telephone calls, customer service contacts, websites and other sources, as specified above. We collect personal data of customers or drivers while booking short or long-term car rental or sale of a car, such as full name, address, phone number, driver’s license, credit card details, taxpayer ID, etc. (as specified in paragraph 3). We also collect your personal data when you create a profile on our website, as follows:
– Personal Data that we collect: Full Name, Email, Telephone Number, Home address , Temporary address in Greece
– Access: It is obtained by creating a password which you choose and create. You have the option to renew the password or reset it in case of loss. The password is strictly personal. Its creation, as well as any change, is done exclusively through your email and at your own risk. Third party access to your reservation management profile is strictly prohibited. This is why we advise you not to give access to your profile to third parties and to contact us if you have any problems or have any questions about your reservation. In no case does our company bear any responsibility if you provide access to authorized or non-authorized third parties. Accordingly, we have no obligation to serve or provide information to third parties regarding the management of your reservation, through your electronic profile, even if you request it, as the profile and its use are strictly personal. Access to your profile is free 24 hours a day, all days of the year (excluding cases of maintenance of our website or the existence of a technical reasons). You reserve the right to update your contact details at any time.
– Reasons for creating a profile: a) the management of your reservation, b) the storage of your reservation history by our company, from the creation of your profile and onwards, c) making a future reservation, d) Enter to the rewards program , VOLTA4u Loyalty program .
– Retention period: a) you have the right to delete your profile at any time. Your data will be automatically deleted from your profile only. Data provided to us in connection with the performance of a contractual transaction and an obligation will be retained by us as provided in paragraph 5 of this Privacy Policy, b) all data will be deleted from your profile automatically after five years from the completion of your last reservation, without requiring any prior action from you, c) the right to portability of your profile and its content is not granted. For this reason, we give you the opportunity to delete your profile at any time, without our prior approval. Important information : Once you will delete your profile, automatically you will lose all benefits and rewards achieved to be used for future bookings. The rewards option will start again once a new booking will be in place
5. How long we archive of your personal data
We retain your personal data only for as long as is necessary to fulfill the purposes for which it was collected, including to comply with any legal or accounting obligation or mandatory reporting requirement. To determine the retention period for personal data, we consider the amount, nature and sensitivity of the personal data, the potential risk of harm from unauthorized use or disclosure of your personal data, the purposes for which we process your personal data and whether we are able to fulfill such purposes by other means, within the applicable law.
Customer tax data is retained for a period of ten (10) years from the date of issue of each tax document, to be made available, as required, to tax authorities within the timeframe of valid tax claims. Any data relating to the establishment, enforcement and support of legal claims of the Company or a third party before any competent court or administrative authority are retained for a period starting from the moment the Company’s claims arise and until the statute of limitations and the expiry of possible bilateral legal disputes. The Company may retain the customer’s personal data after the purposes of their collection and processing have been fulfilled, provided that this constitutes our legal obligation as defined by any relevant legislative provision.
6. Protection of your personal data

7. Ποιοι είναι οι αποδέκτες των Δεδομένων σας
Our company guarantees that it will not forward, share, or relinquish etc. your data to others (except the ones mentioned in this document) for any reason or use unless this is dictated by the present legislation or stipulated by public/judicial bodies or authorities. Only the necessary Company’s personnel, all of whom are bound to confidentiality will have access to your personal data, which also applies to our partners who comply with our directives and are aligned with the provisions of the 2016/679 EU regulation and they process your data as joint data controllers or as data processors on our account and according to our directives. Γίνεται μνεία ότι προσωπικά δεδομένα διαβιβάζονται και προς χώρες εκτός Ε.Ε (για την εξυπηρέτηση κρατήσεων εκτός Ε.Ε), υπό τον όρο ότι αυτές διαθέτουν δικό τους νομοθετικό πλαίσιο, επαρκές για την προστασία των προσωπικών δεδομένων. Συνεργαζόμενες εταιρείες για την παροχή οδικής βοήθειας σε οδηγούς που χρησιμοποιούν τα οχήματα της Εταιρείας μας. Συνεργαζόμενες εταιρείες στην μίσθωση οχημάτων. Πάροχοι νομικών υπηρεσιών (δικηγόροι, δικηγορικές εταιρείες) για την προάσπιση των συμφερόντων της εταιρείας μας έναντι τρίτων, φυσικών ή νομικών προσώπων, δικαστικών και διοικητικών αρχών, ανεξάρτητων αρχών και φορέων.
8. Πώς εξασφαλίζουμε ότι οι Εκτελούντες & Υπoεκτελούντες την Επεξεργασία σέβονται τα Δεδομένα σας
Οι Εκτελούντες την επεξεργασία για λογαριασμό μας έχουν συμφωνήσει και δεσμευτεί συμβατικά με την Εταιρεία: να τηρούν εχεμύθεια, να μη στέλνουν σε τρίτους Δεδομένα σας χωρίς την άδεια της Εταιρείας να λαμβάνουν κατάλληλα μέτρα ασφάλειας να συμμορφώνονται με το νομικό πλαίσιο για την προστασία των προσωπικών δεδομένων και ιδίως τον Κανονισμό 679/2016/ΕΕ (άλλως GDPR). ότι έχουν λάβει γνώση και τηρούν όλες τις ισχύουσες νομοθετικές και κανονιστικές διατάξεις για την προστασία των προσωπικών δεδομένων.
Ενδέχεται οι Εκτελούντες, κατά την εκτέλεση των καθηκόντων τους, να απασχολούν έτερα πρόσωπα, οι οποίοι καλούνται Υποεκτελούντες. Στην περίπτωση αυτή, o υπεύθυνος επεξεργασίας θα έχει δώσει εξουσιοδότηση να χειρίζονται την εν όλω ή εν μέρει επεξεργασία των Δεδομένων. Συνέπεια αυτού είναι ο υποεκτελών να έχει τις ίδιες υποχρεώσεις και δικαιώματα με τον Εκτελούντα, όπως αναλύονται στην παρούσα Πολιτική και πάντα μέσα στο πλαίσιο των ανατεθειμένων αρμοδιοτήτων του, και να φέρει εις ολόκληρον ευθύνη με τον Εκτελούντα.
9. Τα δικαιώματά σας
You have the right to: request access to your personal data by email to customerservice@volta4u.com (“subject access request”). This provides you with a copy of your personal data as kept by us and it allows you to ensure that we process them according to the provisions of the law; request the correction of your personal data kept by the company. You may correct incomplete or faulty data or add to the data we have on you, though we have the right to ask you for verification of the new data you provide; request that your personal data be deleted subject to time period limitations as stipulated in paragraph 5. Still, as you probably know, we may not always be able to comply with your deletion request for specific legal reasons about which you will be notified, if necessary, on submission of your request. oppose our processing your personal data when you deem that your fundamental rights and freedoms have been violated. You also have the right to oppose our processing your personal data for promotional purposes. request the restriction of processing your personal data. This allows you to ask us to suspend processing your personal data in the following cases: i) if you wish to verify the accuracy of the data, ii) when the company’s use of the data is unlawful, but you do not wish us to delete your data, iii) when you wish us to preserve your data even if we do not ask for it, in the event it is necessary for you in order to confirm, exercise or defend legal claims, or, iv) if you have objected to our using your data, but you have to verify whether we have compelling legal reasons to do so; request personal data transmission to you or to a third party. We will provide you or the third party you have specified with your personal data in a structured, readable form. This specific right pertains only to information we have received with your consent during signing the contract or later, up to the time the request has been submitted; withdraw your consent in case you realize and can prove that it has stopped being lawful. Nevertheless, this cannot influence legitimate processing that took place before you withdrew your consent. 10. How to request your rights

In Greece, this authority is the Hellenic Data Protection Authority (HDPA) and you can access it and find relevant details via the following link: www.dpa.gr. Be that as it may, we would appreciate it if we were to be allowed to handle your queries before you approach the Data Protection Authority, therefore we would like to ask you to get in touch with us first, using the contact information provided above.
11. Administration Fee
You will not be asked to pay to access your personal data (or to exercise any of your other rights). However, we reserve the right to request a reasonable fee if your request is grossly unfounded, repetitive or abusive, in which case we will contact the company’s Legal Department.
12. We have the right to ask you for certain particulars in order to verify your identity and safeguard your right to access your personal data (or exercise any other one of your rights). It is a protective measure, which ensures that your personal data will not be accessed by unauthorized others. We also have the right to contact you and ask for further information concerning your request, in order to speed up reply time.
13. Χρονικό όριο απάντησης
We try to reply to all legitimate requests within 7 to 14 working days. If by any reason we will need more time to reply , if the request is particularly complex or if you have submitted a series of requests. In such case, you will be notified accordingly.

We reserve the right to modify the present policy and effect any changes in the information provided previously, within the constraints of the law. If there are fundamental changes in policy or in the way we use your personal data, we will post the updates on the present policy on our website and you may be informed about any changes there. Let it be made clear that such changes will be effected starting the day they are posted in the amended privacy policy on the Company official webpage www.volta4u.com .
